Clinic Terms and Conditions
Please read these terms and conditions carefully before you book a clinic appointment.
These Terms and Conditions apply to all clinic appointments (in-person and virtual) provided by The Healthy Child Co Ltd.
By booking or requesting an appointment, you agree to the terms outlined below.

1. The Nature of Clinic Appointments
Clinic appointments are designed to provide evidence-based advice, education, and professional support relating to child health, development, and parenting.
Advice is based on the information you provide, it is your responsibility to ensure this is accurate and complete
Appointments are not a substitute for medical care
If your child is unwell or requires urgent attention, please contact your GP, NHS 111, or attend A&E
All guidance is grounded in responsive, evidence-based parenting approaches
Outcomes depend on parental implementation, specific results cannot be guaranteed
2. Booking & Payment
Appointments must be paid in full at the time of booking unless otherwise agreed
Your appointment is not confirmed until payment is received or arranged
All fees are non-refundable except as outlined below
Late arrival may result in a shorter session, with the full fee still applicable
3. Cancellations & Rescheduling
We understand that life with young children can be unpredictable.
48 hours’ notice is required to cancel or reschedule
With more than 48 hours’ notice, you may:
Reschedule once free of charge, or
Receive a refund (minus any admin fees)
Cancellations within 48 hours are non-refundable
Missed appointments (“no shows”) are non-refundable
In exceptional circumstances, one rescheduled appointment may be offered at discretion
4. Circumstances Beyond Control
If appointments are affected by events outside of reasonable control (e.g. illness, severe weather, or national restrictions):
Sessions will be rearranged where possible
Refunds are not guaranteed in these circumstances
5. Scope of Practice
Clinic appointments provide professional guidance and education only
They do not include medical diagnosis, prescribing, or treatment
You may be advised to seek further support from your GP or other professionals
The Healthy Child Co reserves the right to decline or end an appointment if it falls outside scope
6. Confidentiality & Safeguarding
Your information is treated with strict confidentiality
Information may be shared without consent if there is a safeguarding concern or legal obligation
Anonymous case examples may be used for educational purposes
7. Code of Conduct
We are committed to creating a safe and respectful environment.
Clients are expected to engage respectfully
Abusive, discriminatory, or inappropriate behaviour will not be tolerated
Appointments may be terminated without refund in such cases
8. Intellectual Property
All materials provided (including plans, resources, and guidance):
Remain the property of The Healthy Child Co Ltd
Are for personal use only
Must not be copied, shared, or reproduced without written permission
9. Liability
The Healthy Child Co Ltd provides services in line with professional standards expected of a Registered Nurse and Specialist Public Health Nurse.
Advice is based on:
Information you provide
Professional judgement
Current evidence-based guidance
We are not liable for:
Outcomes where incomplete or inaccurate information is provided
Failure to implement advice
Independent decisions made outside of guidance
Failure to seek medical care when advised
To the fullest extent permitted by law, liability is limited to the fee paid for the appointment. Nothing in these terms excludes liability where it cannot legally be excluded.
10. Data Protection & Privacy
Your privacy is extremely important to us.
We collect and store information in order to:
Provide safe and effective services
Maintain clinical records
Communicate with you
Meet legal and professional requirements
What we may collect:
Parent and child details
Contact information
Relevant health and development information
Data retention:
Adult records: 7 years
Children’s records: 7 years after their 18th birthday
Your rights:
You have the right to:
Access your data
Request corrections
Withdraw consent (where applicable)
Request deletion (where legally possible)

11. Complaints
If you have any concerns about the service you receive, please contact us directly in the first instance.
You also have the right to raise concerns with the Nursing and Midwifery Council (NMC).
Final Agreement
By booking or submitting a clinic request form, you confirm that:

You agree to the scope and nature of the service provided
